Accounting Assistant

Status: Full Time
Minimum Salary: $36,000

Under the supervision of the Controller, execute general ledger account reconciliations, accurate reporting and data verification.  Preparation of student invoices to third parties and collection of outstanding balances, assist with the student registration process and perform daily reconciliation of all monetary receipts.  Works very closely with both internal and external customers.

Description of Job Duties

  • Perform general ledger account reconciliation, verify the accuracy of the data, and report, identify and correct errors discovered.
  • Conduct month-end and year-end closures
  • Counting and receipting money from students and other college departments in to the proper account
  • Create invoices and request payment for student billings
  • Assist students and parents with student account questions and payment options
  • Maintain and assist students with payment plans
  • Perform daily balancing of business office receipts and research/correct any errors
  • Maintain designated scholarship records and ensure reconciliation to the general ledger
  • Support and back up the AR Specialist during vacations and absences, maintain strict confidentiality
  • Provide outside auditors with assistance; gather necessary account information and document to perform annual audit
  • Maintain knowledge of acceptable accounting practices and procedures
  • Perform other related duties as assigned

    a. Knowledge Required - Be familiar with general office/accounting practices and the overall policies and procedures of the college.

    b. Skills Required - Personal characteristics such as reliability and dependability; work exceptionally well with others; good organizational skills and ability to work independently; confidentiality when working with payroll data; sound judgement and decision making skills; ability to analyze and resolve problems; attention to detail and accuracy as errors in billing could result in lost funds; computer literacy having the ability to maneuver in various applications and programs; knowledge of accounting principles; ability to meet deadlines; ability to solve problems quickly and effectively; ability to work effectively under pressure in a high paced environment.

  2. Physical and Mental Requirements

    a. Physical Requirements - Ability to withstand frequent standing, sitting, reaching, walking and occasional lifting

    b. Mental Requirements - Frequent cognitive decision making; frequent stressful conditions.  Ability to organize and prioritize and meet deadlines

  3. Education and/or Experience Requirements

    a. Bachelor's Degree Required

    b. Experience in general accounting or other business office experience preferred

  4. Environmental Exposures and Occupational Safety and Health Hazards

    This position is an inside office position with minimal safety/health hazard potential
