Human Resources Assistant

PURPOSE:

The Human Resources Assistant serves as the initial point of information for staff.  Duties will include document management and miscellaneous reporting functions for the college, ensuring efficient and effective service to the faculty, staff, and students in all such related activities.  They will assist the Department of Human Resources as needed.

DESCRIPTION OF JOB DUTIES:

  • Assist with HR operations, including supporting the Director of HR in recruitment, onboarding, and providing support to employee inquiries 

  • Manages compliance with all Federal/State regulations regarding hiring and onboarding processes, such as performing background screenings, I-9 completion and management, E-Verify checks, and new hire reporting.

  • Complete VOEs and Service Record requests

  • Update and issue quarterly Human Resources Department Newsletter

  • Assists with employee related events such as annual holiday lunch and service award presentations

  • Assists and coordinates with the Director of Institutional Effectiveness to ensure all transcripts are filled and posted for XITRICS reporting 

  • Maintain confidentiality of all payroll, benefits, personnel, and employment information

  • Coordinate ordering supplies, creating purchase orders, and submit receipts for payment for all Human Resource Department purchasing needs

  • Organizes, scans, and uploads personnel files and HR documentation 

  • Provide support for HR projects and initiatives as assigned, including reviewing payroll reports for accuracy

  • Perform other duties as assigned by supervisor

  • Software knowledge – Outlook, Excel, Word, and PowerPoint

  • Works independently but also able to work as a team

  • Works closely and cooperatively with faculty and staff

  • Ability to maintain confidentiality and handle sensitive information

  • Strong communication, interpersonal, and organizational skills are required

  • Strategic, creative, and highly analytical

    MINIMUM QUALIFICATIONS:

  • Associate’s Degree in Human Resources or related field preferred

  • Minimum of 3 years of experience in a fast-paced, high-volume clerical role, preferably in Human Resources

  • Ability to communicate effectively both orally and written is required
